This Privacy Policy explains how The Beagle ("The Beagle", "we", "us") collects, uses, and shares information when you use our website at https://thebeagle.ai and the services available through it (the "Service"). The Beagle is a platform that lets organizations build knowledge bases, configure AI assistants, and share private rooms with people they invite — typically prospective customers preparing for a sales conversation.

1. Information We Collect

Information you provide

• Account information — your name, email address, and password (stored in hashed form). If you sign in with Google, we receive your name and email from Google.
• Organization information — details about an organization you create or join, such as its name, type, and team membership.
• Content — knowledge base entries, uploaded files, messages sent to AI assistants, and information shared in rooms. This may include business information you choose to share; please avoid submitting sensitive personal information the Service does not need.
• Billing information — payments are processed by Stripe. We receive limited billing details (such as subscription status and the last digits of a card) but never your full card number.
• Communications — messages you send us, such as support requests.

Information collected automatically

• Usage data — actions taken in the Service, AI usage metering (for billing), log data such as IP address, browser type, and timestamps, and diagnostic/error data.
• Cookies — we use cookies for authentication (keeping you signed in) and for essential Service functionality. We do not use cookies for third-party advertising.

2. How We Use Information

• To provide the Service: hosting your organization's knowledge, running AI assistants, operating rooms and chat, and delivering notifications such as room invitations.
• To process AI requests: content you submit to AI features (messages, relevant knowledge base excerpts, uploaded files) is sent to third-party AI model providers to generate responses. We do not permit these providers to use your content to train their models where such options are contractually available.
• To manage subscriptions, credits, and payments, and to prevent fraud and abuse.
• To improve and secure the Service, diagnose problems, and provide support.
• To communicate with you about the Service, including transactional emails (invitations, password resets, billing notices).

3. How Information Is Shared Within the Service

The Beagle is built around controlled sharing between organizations and the people they invite. It works like this:

• Content in an organization's knowledge base is visible to that organization's members according to the visibility settings on each entry.
• When an organization invites you into a room, you can see the room's shared content and the AI assistant's answers, which may draw on knowledge the organization has chosen to share with that room.
• Information you share in a room — messages, questions, files, and details you provide to the assistant — is visible to the organization that owns the room. Rooms are shared spaces: assume the other side of the conversation can see what you contribute.
• Rooms are private. They are accessible only to members of the owning organization and to people whose email addresses have been invited, after signing in.

4. When We Share Information with Third Parties

We share information only as needed to run the Service:

• Service providers — cloud hosting and storage, AI model providers (to generate responses), Stripe (payments), email delivery, error monitoring, and, if you connect them, optional integrations such as email or calendar tools. Providers may only use the information to provide their services to us.
• Legal reasons — if required by law, or to protect the rights, safety, or property of The Beagle, our users, or others.
• Business transfers — in connection with a merger, acquisition, or sale of assets, in which case this policy will continue to apply to your information.

We do not sell your personal information, and we do not share it for third-party advertising.

5. Data Retention and Deletion

• We keep your information while your account or organization is active and as needed to provide the Service.
• Organizations control their content and can delete knowledge base entries, rooms, and invitations at any time; deleting these removes them from the Service.
• You may request deletion of your account by contacting us. We may retain limited information where required for legal, billing, or security purposes.

6. Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit, hashed passwords, and role-based access controls within organizations. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Your Rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. You can exercise these rights by contacting us at support@thebeagle.ai. If you interact with an organization's room, that organization controls the content it collects from you there; we act on its behalf for that content, and requests about it may be directed to the organization.

8. Children

The Service is not directed to children and may not be used by anyone under 18. We do not knowingly collect personal information from children; if you believe a child has provided us information, contact us and we will delete it.

9. International Users

We operate from the United States, and information is processed in the United States and other locations where our service providers operate. Where required, we rely on appropriate safeguards for international transfers.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If a change is material, we will provide notice through the Service or by email before it takes effect. The "Last updated" date above reflects the latest revision.
